Return and warranty policy

At Grovema, we supply used and refurbished parts for heavy equipment to business customers. Because many parts are heavy, large, and sensitive to transport (pallet/freight shipments), we use a fixed return procedure with an RMA number (Return Material Authorization) and transport coordination.

1. Registering a Return

Returns are possible within the timeframes below, please remember to register them in advance.
Register a return via info@grovema.com with:

  • Order number/ invoice number
  • Item number and description
  • Reason for return (not suitable/ ordered incorrectly/ defective on arrival/ defective after installation)
  • Photos (in case of damage or defect)
  • Contact person + phone number

After registration, you will receive an RMA number and return instructions. To ensure prompt processing, we ask you to register returns for an RMA number. This helps us with the logistical handling of heavy parts.

 

2. Return Period (B2B)

Because Grovema focuses on the business market (B2B), we offer all our business customers a flexible policy: return period of 14 days after receipt. Returns after this period can only be accepted in consultation.

 

3. Reasons for Return: Non-defective and Defective

Non-defective return (e.g. ordered incorrectly/ not suitable):

  • Possible within 14 days after receipt, after registration and RMA.
  • The part must be complete and in returnable condition (see point 5).

Defective/ incorrectly delivered:

  • In case of an incorrectly delivered part or a defect on delivery, we will look for the best solution in consultation: repair, replacement or refund.

 

4. Return Method: Pallet/Freight Transport or Parcel Service

Because many parts cannot be shipped via regular parcel post:

  • Heavy/ bulky parts (pallet/freight): return transport will be scheduled by Grovema or arranged by you in consultation according to our instructions.
  • Smaller parts (if suitable): return via parcel service is possible; instructions will be provided with the RMA.

The return address and the delivery/collection instructions will always be confirmed in the RMA communication.

 

5. Condition of the product and preparing for transport

Inspection and fitting are allowed. For returns, the following applies:

  • Part is complete and not additionally damaged (except for normal signs of inspection/fitting)
  • Ready for transport packaging: securely packaged and/or on a pallet, secured
  • If applicable: fluids drained, connections capped, leak-proof packaging
  • Damage due to incorrect installation, improper use, or external causes may result in (partial) refusal or depreciation

 

6. Return shipping costs

  • Company error (incorrect delivery/ demonstrably defective upon delivery): Company reimburses the return shipping costs and will arrange logistics in consultation.
  • Customer error (incorrectly ordered/ does not fit): return shipping costs are at your expense. For pallet/freight shipments, these costs can be significant; the expected costs and procedure will be agreed in advance in the RMA.
  • Restocking fees: Company charges no administration or restocking fee.

 

7. Warranty on used and refurbished parts

A limited warranty may apply to used parts. The specific warranty period and conditions per part will be communicated prior to purchase (in the quotation, order confirmation, or invoice).
In the event of a warranty claim, we ask you to report the issue with the order number, description, and photo/video where relevant. We will then assess whether repair, replacement, or refund is appropriate.

 

8. Warranty on new parts
For new parts, Company applies the warranty of the supplier/manufacturer. Warranty conditions, duration, and any exclusions vary by brand and product type. Therefore, you will receive the exact warranty information per item upon request (in the quotation, order confirmation, or via our sales representatives). In the event of a warranty claim, we will assist you in handling it according to the supplier’s/manufacturer’s conditions.

 

9. Refund

After receipt and inspection of the returned part, we will refund the amount due within 14 days via the original payment method, unless otherwise agreed (e.g. settlement).
